LOBBY FLOOR | Reception & Welcome Ceremony

The lobby floor is where people will check-in at the beginning of the event. On this floor, you will be able to get familiar with the Remo Online Networking Platform, ask questions to our staff and watch the Welcome Ceremony at the beginning of the event! The Lobby floor will be opened from 5:00pm (30 minutes before the event) so that you can also have the opportunity to network with other companies.

After you approve the design made by HirePlanner, we will then promote your company and your job vacancies online on our social media networks to drive more traffic and applications your way.

3 | company introduction video

  • Record your video clips HORIZONTALLY (landscape mode).

  • Examples of content you can record: employee's interview, presentation slides, office space etc

  • Recommended: Record 1 short clip per question to ensure the file size remains small enough for an easier data transfer. 

  • When recording, please add a couple seconds before and after you speak to make it easier to add transitions later on.

  • Keep your answers short and concise.

  • Keep the audience engaged by having a positive and energetic tone. Sell your message with a fun and welcoming vibe, and make sure to smile.

  • Be original, and feel free to invite other people to participate in your video.

  • Once edited, the entire video must last less than 2 minutes.

  • Pay attention to your sound quality, and record your answers without background noise.

  • Make sure your face is centered and properly framed

  • Make sure you use a nice and clean background.

  • Make sure you have sufficient lighting (avoid shadows and dark spaces).

  • Recommended video format: 1080p HD at 60 fps.

  • Please sign in from your laptop or desktop and use Google Chrome (tablets such as iPads are NOT SUPPORTED).

  • You will first arrive at the Reception. From there, please select the floor of your company table.

  • In order to enter a table, double-click on it.

  • A table can accommodate a maximum of 8 people at a time. One seat is reserved for the table speaker and 7 for candidates. 

  • Chat / Messenger:【 CAUTION!!! 】There are 3 types of chat options.


PRIVATE CHAT for 1:1 private conversations (Recommended)


TABLE CHAT for conversations with ALL members from the table you visit. Be cautious when sending your messages: note that all visitors who come to the table will be able to view the table’s conversation history.


GENERAL CHAT for messages you wish to send to everyone on all floors

(Be careful not to send private messages on the general chat!)

 

  • During the networking session, please do not (virtually) leave your table. If you do, somebody else might take your seat. Instead, when taking a break, you can turn your mic and camera off. If you have to move to another table during this time, please notify our staff. 

  • You can network freely with other company HR and Coaches before the opening ceremony (5:30 PM) and after the closing ceremony (8:30 PM). This is when you can move freely from one table to another. 

  • For technical support, please speak to HirePlanner staff marked with the HirePlanner icon.

 Frequently asked questions 

1. Do I have to make a company introduction video?

  • It is highly recommended to upload a pre-recorded introduction of your company for candidates to view before the event.

  • This can be a presentation that includes: a company overview, job descriptions, salary and benefits, work culture, and screening process. 

  • Please upload this video onto your branding page on HirePlanner. 

  • Candidates who registered on Hireplanner will be able to view this content before the event.

2. What do I need to promote our company on Social Media? 

 For the social media promotion post, please send us the following information:

  • One photo of your representative

  • one company quote and 

  • permission to publicize your company logo

3. What platform will be used for the event?

On the event day, we will use an online conferencing platform called Remo. The event link will be sent to you prior to the event

 

4. On the day of the event, what time should we enter the platform? 

Please start checking in before 5 PM to make sure you are signed in and your camera and mic are in order. After this, you will have time to network with other HR members. Candidates will be able to enter the platform from 5:15 PM onwards, and the event kick-off will be at 5:30 PM. 

 

5. Do you have tips for speaking to multiple candidates at the same time?

Each session is 30 minutes long. We recommended a format for each session of - 5 min Introduction / 20 min Q&A / 5-minute break.

6. How can I contact candidates after the event?

You can communicate and schedule interviews with candidates on HirePlanner after they apply for jobs. You can also use the chat function during the event to invite them for 1:1 interviews.
